Airport Administrative Assistant Location Philadelphia, PA : GAT is seeking a dynamic and dependable Administrative Assistant to report directly to the General Manager. The role's primary focus will be on meeting the company's immediate needs, offering support in a variety of tasks and assisting with operational efficiency.
Job Responsibilities: - Staffing & Recruitment:
- Collaborate with the General Manager and HR to maintain staffing levels and reduce turnover.
- Source, screen, and interview candidates based on competency-based guidelines.
- Manage and maintain the applicant tracking system.
- Coordinate onboarding for new hires, ensuring proper execution of orientation and training processes.
- Assist with recruiting efforts, including scheduling and conducting interviews, processing new hires, and coordinating necessary training (e.g., SIDA training, drug testing, background checks).
- Timekeeping & Payroll:
- Monitor daily timekeeping, identify exceptions, and resolve discrepancies before payroll is processed. Ensure accuracy and obtain appropriate approvals.
- Communication & Reporting:
- Publish and post memos, maintaining a “Read and Initial” system for employee communication.
- Ensure corporate reports, such as payroll change notices and profile updates, are forwarded to Corporate Headquarters.
- Assist with the documentation of On-the-Job Injuries (OJIs) and ensure they are sent to Corporate Headquarters.
- Purchasing & Administrative Support:
- Assist with purchasing, ensuring necessary approvals and purchase orders are obtained.
- Provide general administrative support to management as directed, including maintaining records and performing other duties as assigned.
Minimum Requirements: - High School diploma or GED required
- At least 18 years of age
- Proficiency in English (reading, writing, speaking)
- Advanced computer skills, with proficiency in Microsoft Word, Excel, and Outlook
- Previous administrative and payroll experience preferred
- Ability to successfully complete all required training and maintain certifications
- Ability to pass an FBI fingerprint background check and obtain a custom seal
- Must pass a pre-employment drug screen
